How to Use Claude for Email Writing — Professional Emails in 30 Seconds

Why Claude is the best AI for emails

Most people write emails with AI by typing "write me an email about X" and getting a generic, robotic response they have to completely rewrite. That's using AI wrong.

Claude is different because it follows complex instructions precisely. You can tell it the exact tone, length, relationship context, and goal — and it actually delivers. With the right prompt codes, the output is sendable ~80% of the time without editing.

The 5 email types and how to prompt each one

1. Cold outreach

The problem: AI-generated cold emails all sound the same now. Recipients spot them instantly.

The fix:

/ghost /voice direct, warm, founder-to-founder energy

Write a cold email to [NAME] at [COMPANY]. I want to [SPECIFIC ASK — 15-min call, feedback, intro]. I know they [SPECIFIC THING from their LinkedIn/Twitter]. What's in it for them: [honest answer]. Keep it under 80 words. Subject line under 6 words, lowercase.

2. Follow-ups that don't feel pushy

Claude reads the original email and matches its tone, length, and energy. If they wrote 4 lines, you write 4 lines. If they were formal, you're formal. This prevents the most common reply failure: sending a 3-paragraph essay in response to a 2-sentence email.

4. Difficult conversations

Situation: [describe the difficult situation]
Relationship: [my relationship to the recipient]
Goal: [what I need from this email — not just "deliver bad news" but "deliver bad news while preserving the relationship"]

The PERSONA framing is critical here. A generic "write me a difficult email" produces corporate HR-speak. A specific PERSONA with experience produces something that handles the situation with real skill.

5. Client updates

Common mistakes

Mistake 1: Not giving enough context. "Write an email to John" → garbage. "Write an email to John, my CTO, about why we need 2 more weeks on the migration, tone: collaborative not apologetic" → sendable.

Mistake 2: Not using /ghost on outbound emails. Internal emails can sound like AI — nobody cares. External emails (clients, prospects, partners) must not. Always /ghost outbound.

Mistake 3: Accepting the first draft. Claude's first email is a first draft. Tell it "shorter", "more direct", "less formal", "the opening is weak" — iterate once or twice and the quality jumps.
